This weekend, we had a great time providing a DJ for this fun, school carnival and a DJ and photo booth for a block party for an apartment complex in San Marcos, TX!

The school had a great turnout for this event! We were set up near the dunking booth, which was pretty popular, since students could dunk the principal and assistant principal! We had a great time and are glad everyone came out for this fun event!

We had a great time providing a DJ and photo booth for this fun, block party, at Elevation on Post Apartments, in San Marcos, Texas! Lots of people came out, took some pictures, enjoyed the music and played some games, too! We look forward to the next event!

If you're having a wedding, party, quinceanera or event, this spring or summer in the Austin and Central Texas area, most likely, it'll be an indoor/outdoor wedding or event. Take advantage of the great central Texas weather and add some outdoor games and entertainment! Gone are the days of just hiring a DJ to provide entertainment for the entire event. Yes, a DJ is certainly great entertainment for the party, but people are now wanting a variety of entertainment, for those guests who may not want to dance.
Many of our clients are adding more entertainment for their guests. Our most popular addition to add entertainment is our photo booth, which is always a huge success! People LOVE taking pictures at the photo booth, with props, and getting a copy of the picture to take home. If you have lots of guests, add a photo booth and keep them entertained with more than just music! Additionally, customers are always asking, "what else can we do to make sure our guests have a great time?" A great DJ is first, of course, then a fun photo booth, certainly adds great entertainment, but for indoor/outdoor events, try adding games!
We now have plenty of outdoor/lawn games and "giant" games, too! These games are great for cocktail hour, or even during the reception, for guests that get tired of dancing or want something different. The giant games are always a huge hit, too! If you haven't already hired a DJ and/or photo booth for your school event or graduation party, it's time to do this, ASAP! It's the first week of Spring, and that means school is ending, soon! May/June is a very busy month for proms, school dances, graduation parties (high school and college), quinceaneras, and of course weddings! Outdoor weddings and events in Austin and central Texas are always fun! The weather is usually warm and we rarely have extreme temperatures in the central Texas area. This is great, since all your DJ, photo booth, photographer, caterer and other vendors will need to set up outside, too! However, we're here to let you know a few tips for "plan b."
Let's face it, no one wants to create a plan b, since we all envision the perfect wedding/event with perfect weather! Just saying the "r word" (rain) upsets some brides and grooms. We've even had a client from another state not hire us, since the planner said, "it's always warm in Austin, especially in February, right?" We replied, "honestly, it can be warm, but it can also be cold, too. We've done many outdoor events in February, and it was usually cold." The bride and planner didn't appreciate our honesty. This was 6 months ago and we had no idea that most of February was actually going to be warm, this year, who knew?
Back to plan b. Here are some tips:
1. Budget for a tent rental.
Always have a budget set aside for a possible tent rental. I know this is very difficult to do, but trust me, you'll be glad you did, if you need to actually rent one!
2. Get quotes.
Search for event rental companies in the area and get quotes, early! Find out what their rates are, deposit, available sizes for your number of guests, etc. Also, be sure to ask your venue manager if they have a tent rental. Many venues offer this at a much lower rate than rental companies. Find out the costs for the company to set up and tear-down the tents. Theses are often extra charges, unless you want to DIY, but we'd recommend letting the pros do it. You'll be too busy that day, anyway, and it's not as easy as it looks.
3. Make the call to rent a tent, early, 3-5 days before the wedding/event.
It's wise to watch your weather app (we use Wunderground, which is very accurate) and a few days before the wedding/event, make the call to rent a tent. We advise a few days before, so you won't be stuck calling around at the last minute and no one has any tents available! Find out if the event rental company has a cancellation policy. If you decide to cancel your rental (ideally because you don't need it after all) find out about the charges.
4. Don't use make-shift tents/tarps!
We actually just completed an all outdoor wedding, last weekend, and it rained 90% of the time! Their family and friends scrambled to buy tarps and canopies, the day of the wedding, to cover their guests. They managed to get them all up in time, but it wasn't the best idea. Right after the ceremony, the tarp lines broke and everyone got wet! It was tough to see and we weathered the storm right along with them. They decided to just have the ceremony, cocktail hour, dinner, and the first dance, only. They ended their wedding 2 hours early, due to the non-stop rain. So don't make your own rain coverings.
5. Read your vendor contracts.
Last, but not least, read all your vendor contracts to find out about their inclement weather plans. Most vendors will not refund any portion of your fees, even if you end your event early or cancel that day. (We actually gave our couple above the additional 2 hour fees back, even though our contract says we don't). We require a cover in extreme temperatures and in rain. We will also turn off the equipment, if lightning is within 1 mile from the location (using the cloud to ground measuring technique). Also, if there are extreme or imminent weather warnings, most vendors will end their services, since it may be life-threatening.
Overall, do your research and plan early, for all possibilities! You'll be glad you did!

Wedding Sparkler Send-Off
When it comes to send-offs, by far, the most popular send-off for the weddings we do in the Austin and Central Texas area is the sparkler send-off. It looks GREAT in photos and is easy to do! You simply need to buy sparklers, bring a way to light them, and a bucket with water! Buying sparklers isn't too hard, either. There are plenty of websites that have them for sale. The prices can really vary, depending on the seller and on the size you need. We recommend 36 inch sparklers, since they last about 3-4 minutes, each. 20 inch sparklers are okay, but they only last 1-2 minutes. You'll need longer time, since you have to light everyone's sparkler, before the couple walks through!

Wedding Bubble Send-Off
Bubble send-offs also look great for pictures! Keep in mind, however, that the lighting has to be bright, so the bubbles show up well in the photos. If you want to do a bubble send-off, try scheduling a "mock send-off" early. You can have all your guests line up, early in the evening (just before sunset photos is a great time) and take send-off photos! They'll look great and all your guests will be in the photo. Then, you can go right back inside and party! :)
Neon Glow Sticks Send-Off
If you don't like the idea of actual fire or if the venue does not allow sparklers, glow sticks are a great alternative! They look great in pictures, too! These can work in day or night settings and you simply need to have your guests grab one on their way out. No time wasted, waiting for everyone to light their sparklers. Keep in mind many of your guests may be "tipsy" so lighting sparklers can often take longer than it should! :)
Other more environmentally friendly send offs are great too! Bird seed send-offs, which have to be done in brighter settings, unless the photographer has the appropriate lighting, which they should. Another alternative is leaves! In the fall, the various leave colors look amazing in photos!
